Clear, fair terms that protect both you and us. Please read these before confirming a booking.
All quotes are provided free of charge and are valid for 30 days from the date of issue unless otherwise stated. A booking is confirmed only when we have received a signed or written acceptance (email is fine), the desktop risk assessment has cleared, and the 50% deposit has been paid.
Before a booking is confirmed, we carry out a desktop risk assessment of the location — including drone no-fly zones, airspace restrictions and potential hazards. If the risk assessment shows we cannot safely or legally fly at the location, we will let you know and no deposit will be taken.
Once the risk assessment clears, a deposit of 50% of the quoted price is required to confirm your booking and secure the filming date.
The remaining 50% balance is due upon approval of the final edit and must be paid in full before the unwatermarked, full-quality files are released.
For inspection services (roof, chimney, solar panel, gutter surveys), the 50% deposit applies in the same way. The balance is due upon delivery of the high-resolution images.
For video projects, we will provide a watermarked preview for you to review and approve before the final files are released. You may request reasonable revisions at this stage. The watermarked preview is for approval purposes only and must not be used, published, distributed or shared publicly.
Final video files are delivered in MP4 format in 4K resolution via WeTransfer (or similar file-sharing service) unless an alternative arrangement has been agreed. Inspection images are delivered digitally in high resolution. Delivery will normally take place within 14 working days of the filming date, though we will always aim to be quicker where possible.
Drone filming is subject to suitable weather conditions, airspace restrictions (NOTAMs — Notices to Airmen), and other factors beyond our control. Safety is our top priority and we will not fly if conditions are unsafe or if doing so would breach CAA regulations.
If we need to postpone a shoot due to adverse weather, NOTAMs, or other circumstances beyond our control, we will reschedule at no additional cost at a mutually convenient date.
If rescheduling is not possible and we are unable to complete the work, a full refund of any deposit paid will be given.
If you cancel a confirmed booking more than 7 days before the scheduled filming date, your deposit will be refunded in full. Cancellations within 7 days of the scheduled date will forfeit the 50% deposit, as this covers preparation time including the desktop risk assessment and scheduling.
Upon receipt of full payment, you are granted a licence to use the delivered footage and images for your own marketing, website, social media and promotional purposes. Copyright of all footage and images remains with Wheeler Drone Shots.
We reserve the right to use clips, stills or images from any project in our own showreel, portfolio, website and social media for promotional purposes, unless you specifically request otherwise in writing before the shoot takes place.
Wheeler Drone Shots holds commercial public liability insurance for all commercial drone operations. All flights are carried out in compliance with current CAA regulations, and a risk assessment is completed for every job.
Roof, chimney, solar panel and gutter inspections are visual inspections only. The images provided are intended to help identify visible issues and are not a substitute for a professional structural survey, electrical inspection or engineering report. Wheeler Drone Shots accepts no liability for any issues not visible from aerial inspection or for any decisions made based on the images provided.
Any personal information you provide (name, email, phone number, address) will be used solely for the purpose of providing our services and communicating with you about your project. We will not share your personal information with third parties. Footage and images captured during a shoot will only be used as agreed — for your project delivery and, where permitted, for our own portfolio and promotional purposes.
These terms and conditions are governed by the laws of England and Wales. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
